What is Wellhub?
Wellhub gives employees unlimited access to gyms, studios, classes, training, and wellness apps- all in one benefit.
Wellhub goes out to companies and says, “You can offer Wellhub to all of your employees if you pay Wellhub a certain amount of money, and then your employees will have access to the Wellhub app, and they can join gyms for a highly discounted rate, as a benefit for working for you.”
The YMCA of Silicon Valley is now on the Wellhub app, which means employees who join the Y through Wellhub provided by their employer can choose to work out at The Y and participate in Y programs.
Wellhub- On the First Visit Process Breakdown
- The Wellhub member (and any family members if they chose a family membership type) will arrive at the YMCA and open the app on their phone, which has geo-location, and selects “check-in” which populates a barcode and today’s date.
- The Wellhub member must vocalize to our front desk that they are a Wellhub Member and show the front desk their app with today's date above the barcode. This prevents a past Wellhub user from taking a screenshot of their barcode when working and reusing it even after being terminated AND/OR an Wellhub member from sending the screenshot to friends/family not on the membership.
- After verifying today's date, the front desk adds the person (and family if applicable) into Personify. Take their pictures, have them sign the Liability Waivers, and add their Wellhub barcode number as their Personify Facility Access number.

Personify Directions- How to Sell Wellhub Membership
Both Front Desk staff and YSC can sell Wellhub memberships, though it typically will be Front Desk Staff.
Quick/condensed Personify Directions:
- Sell a package that mirrors what membership type the person purchased through Wellhub.
- Add the Market Code "MBRG-GYMPASS" to both the joining fee and dues line.
- Add their Wellhub barcode number as their Personify Facility Access number.
- Take their pictures and have them sign the Liability Waivers.
- Tell them every time they come to the Y, they have to check in on their phone, and then show the front desk the screen. Front desk is looking for today's date to make sure it's not a screenshot.
- After they show the front desk that they just checked in on their phone, they can scan in using our scanners. We get paid per scan-in by Wellhub.
Detailed Personify Directions:
- Open or create a customer record for the employee in Personify for the employee, and if applicable, add the family members as a relationship.
- From the employee's page, click on the Profile Info Tab at the top of the page.
- Choose Name Information
- Click the pencil on the top right of the page.
- Add the Nickname "Wellhub" and Save
- Select the ‘Actions’ button on the top right of the page.
- Select Make Me a member.
- Take a picture of the member immediately on this page by clicking the camera symbol on the profile picture.
- Select the Branch, Package Subsystem, and Membership type that matches what the Wellhub app says the employee purchased.
- Member Age Verification
- Edit the Birth Date by selecting the pencil on the right side of the section. Make sure to click Save when finished.
- Emergency Contact
- Select the pencil to the right of the section. Add the Emergency Contact’s Name, Relationship, and Phone Number. Make sure to click Save when finished.
- Facility Access Card

Add in the Barcode # from the Wellhub app as the Facility Card Number.

Make sure the barcode in the app also shows today’s date to make sure this is a current Wellhub member. Add the Facility Card Number, Branch Location, and today’s date by selecting the pencil on the right side of the screen. Make sure to click Save when finished.
- In the pictured example here, you would type 1904957405931 as their Facility Access (card) number in Personify

- Payment Information: Leave Blank
- Select the Monthly Draft Date of either the 3rd or the 20th of every month.
- If the draft date is left blank, the system will automatically select the next draft date.
- Customers Sharing this Membership:
- For a one-person membership, Continue to Step 16
- For a multi-person membership, select ‘+ Unit Members’ on the right side of the section.
- A screen will display linked family members. Check the box next to Relationship Type to select all family members or select individual members. Click ‘Save and Add Facility Access IDs,’ and then add in their Wellhub barcode # as the card number.
- To add anyone not listed, click ‘Save and Add Non-Linked Customers.’ Search for an already existing customer by either:
- Option 1: Type the last name;first name in the box, and then click the magnifying glass. After the name populates, click Add Facility Access IDs. Add them and save.
- Option 2: Click Advanced to type in their Customer ID. Click Search, highlight their name, and click Select or simply Double Click. Add Facility Access ID(s), and Save

Select Continue to Order Entry in Order to add the Wellhub Market Code
- Scroll to the bottom of the page and check the boxes on the left of Line 2 (the MBR Enrollment line) and Line 3 (the Membership Dues line)
- Work with Selected Lines (directly above on the right side): Choose Make Program Decisions from the drop-down options and click Go
- Click the down arrow on Apply Discounts and Coupons
- Click Advanced to the right of Market Code (on the right side)
- Type “Gym” in the Description box and click Search.
- Find the Market Code: MBRG-GYMPASS GymPass Member. Highlight the line and click Select, or simply Double Click
- Again, click the down arrow on Apply Discounts and Coupons
- Ensure the GymPass Market Code is showing and add the Discount Reason on the left side.
- Discount Reason: Choose MBR- Approved Promotion from the drop-down options.
- Click Save at the bottom of the page.
- If done correctly, the Balance Due Today should be $0
- Select Place Order
- To see the completed membership, go to the summary page and refresh.
After the First Visit
- Each time the Wellhub user uses the Y, they need to check-in on their Wellhub app, then show the front desk their screen so that we can look for today's date. They need to do on every visit to the Y.
- Only the employee will have the Wellhub app and will be able to check-in at the Y with it. The app will produce a new barcode for each family member that the employee will check in individually.
- This means that the family members cannot visit the Y without the employee, OR they will need to download the app themselves and sign in as the employee in order to check into the Y
- Wellhub pays the YMCA for each visit (scan-in) the employee makes at the gym, up to a limit of 10 visits per month. Any visits after 10 will not be paid, but employees can continue to use the facility.
- Each individual on the membership will be paid per gym visit and counted independently (for example: In a Two Adult with Kids membership, if Dad uses the gym 3 times, but Mom and the 2 kids use it 10 times, the Company will pay the Y for 33 visits vs the maximum payout that month of 40 visits)
