Why do People Scan-in Access Denied while on a Trial Pass?
7-Day Trial Breakdown
- 7-Day Trials are for potential members aged 12+ who have not had a Trial pass at any of our branches in the current calendar year.
- 7-Day Trials are free and last 7 consecutive days (one week).
- 7-Day Trials are sold as a 7-Day Trial in Personify.
- Liability Waivers must be signed, and a picture must be taken. Reminder that minors 17 and younger must have their own parent/guardian sign their liability waivers in-person.
- A person can have a 7-Day Trial once a calendar year for our entire association. This means that during the 7-day Trial period, they should use as many branches as they can, since they will not be able to get another 7-day Trial at any branch again this calendar year.
- 7-Day Trials are sold individually per person. The exception is that children aged 11 and younger, will be included in their guardian’s pass.
- The 7-Day Trial, and the Guest Pass are two separate products, sold separately in Personify. If one has already been sold this calendar year, and the person is requesting the other product in the same year, staff should get branch leadership approval. Which means with approval, in one calendar year, a person can have BOTH a free Guest Pass for 7 days, AND if they are interested in joining, can also have a free 7-Day Trial Pass.

Register Themselves Online Via our Website
- Trial Passes are now online for a person to register themselves! 7 Day Trial Pass | YMCA Silicon Valley
- By registering online, all family members will be included in "Family Trial Pass" and everyone will scan-in with Access Denied
Staff Manual Entry
- Staff can manually sell the free Trail pass to an individual or family
- For a family, you sell it to a person 18+. The other family members will not be attached to the membership so they will scan-in Access denied.
Why Do Poeple Scan-in Access Denied while on a Trail Pass?
- First, check the date range of the Trial Pass to determine if that is the reason they are scanning-in Access Denied
- If the date range is not the reason then it probably is because a staff member sold the "Family Trial Pass," which means the family members are not included in the Trial Pass.
- To fix this on the front end, have the person register for the Family Trial Pass online themselves. Then everyone will be included correctly.
- To fix this on the back end, send a ticket to the YSC asking for us to add the family members to the Trial Pass.
- (Note for the YSC, only the YSC Escalation team can attach the family members to the Trial Pass)
